This privacy notice relates to RoseFort Community Development CIC. As a community membership organisation, RoseFort will gather information about you if you apply for membership of the company.
This privacy notice sets out:
Which personal information we will collect and use
Why we need this personal information and what we will use it for
How we will get this information
How long we will store it for;
Whether there are other recipients of your personal information
Whether we intend to transfer it to another country
We are the controller for any personal information you give to us.
The Directors are collectively responsible for managing your data. You can find contact details for the current Directors in the 'Directors and Membership' section of this website.

When you apply as a member or supporter, we require certain details to make sure that you are eligible, have a legitimate interest, and are a natural person. The forms asks for the following information:
Your name(s)
Your home address
Your email address
Your telephone number
We will never ask you to provide us with Special Category Data. If you supply this to us without request, we will dispose of it at our earliest convenience.
The lawful basis we rely on to process personal data for the above purposes is article 6 (1) of the UK GDPR:
(a) - You have given us your consent.
By completing and submitting your membership or supporter form, you have provided your consent for us to use your information.
We need this information to maintain our membership and supporter databases. These databases prove that RoseFort has sufficient membership and support to, for example, be allowed to apply for community asset transfers.
We also need this information to contact members and supporters, in order to share correspondence, updates or invitations to meetings.
There are three ways a person can apply for membership, all of which capture the aforementioned information:
Through a web form on this website,
Submission of an electronic copy of the membership form, or
A wet copy of the membership form.
There is one way a person can apply to be a supporter, through the web form on this website.
If you don't give us your personal information, we won't be able to accept your application for membership or becoming a supporter.
Your email address may be shared with other members where included in a central mailing list.
We will never share any other personal information unless required to do so by law.
Your personal information is stored in as spreadsheet (our members database or supporter database) on secure cloud storage that is only accessible by the current directors.
Information held in emails will be stored in personal email accounts, accessible only by the user.
Any wet copies of applications will be disposed of once scanned and uploaded to the cloud storage area, so no physical record will exist.
Your personal information will remain in our databases indefinitely, unless you ask to be removed as a member.
Any other information will be kept for the minimum time possible and no more than 10 years.
Digitally held data will be disposed of through the permanent deletion of the data from our cloud storage.
Hard copies will be shredded and disposed of.
Your personal information is not subject to automated decision making.
You can exercise any of the following rights by emailing any of the current directors. Your rights are:
You have a right to request access to, and copies of, the personal information that we hold about you by making a "subject access request";
If you believe that any of the personal information that we hold about you is inaccurate or incomplete, you have a right to request that we correct or complete your personal information;
You have a right to object to and/or request that we restrict the processing of your personal information for specific purposes; and
Where you have given consent to the processing of your personal information, you have the right to withdraw that consent.
If you are dissatisfied with how we've handled your data, you have a right to raise a complaint with the Information Commissioner's Office at www.ico.org.uk.
